To cancel Loom, first determine which billing system manages the subscription. Atlassian-managed accounts cancel through Atlassian Administration; legacy accounts cancel from Loom’s Plan & Billing page. In either case, paid features normally continue until the end of the current billing cycle.
Do not delete videos merely because you are above Starter’s 25-recording limit. Loom’s current support documentation says all existing videos remain accessible after a downgrade; you simply cannot create another recording until you upgrade or reduce the library to 25 or fewer.
First identify your Loom billing system
Open Loom’s Personal Settings. If the page says “Your Profile is linked to Atlassian,” the account has been integrated and its billing is managed through Atlassian. If that message is absent and Workspace Settings still contains Loom’s own Plan & Billing controls, follow the legacy path.

| What you see | Billing system | Who can cancel | Where cancellation starts |
|---|---|---|---|
| “Your Profile is linked to Atlassian” | Atlassian-managed | Atlassian billing admin or organization admin | Atlassian Administration → Billing |
| Loom Workspace Settings → Plan & Billing → Manage Subscription | Loom legacy | Loom workspace admin with billing access | Loom Workspace Settings |
An Atlassian app admin is not necessarily a billing or organization admin. If the Deactivate control is missing, verify the admin role before assuming the subscription cannot be cancelled.
Cancel an Atlassian-managed Loom subscription
Only an Atlassian billing admin or organization admin can complete these steps:
- From Loom, open the Atlassian Admin portal in the left sidebar and select Billing, or go directly to
admin.atlassian.com/billing. - Select Subscriptions, find Loom, and choose Manage.
- If more than one Loom subscription is listed, use the Transaction Account ID to identify the correct entitlement.
- Open the active Loom subscription and its subscription details.
- Open the actions menu and select Deactivate.
- Choose a cancellation reason and select Continue.
- Choose either Downgrade to a Starter free plan or continue with cancellation.
- On the final screen, select Cancel subscription.
- Save the confirmation and the exact cancellation date shown by Atlassian.
The labels can shift as Atlassian changes its administration UI, but the official flow is Billing → Subscriptions → Manage → Deactivate. Do not stop at the survey screen; verify that a dated cancellation confirmation appears.
Cancel or downgrade a legacy Loom subscription
For an account still using Loom’s legacy billing:
- Sign in to Loom on the web.
- Open Workspace Settings from the left sidebar.
- Choose Plan & Billing.
- Under the account, select Manage Subscription.
- Choose Downgrade to Starter.
- Select the reason and choose Complete cancellation.
- Return to Plan & Billing and confirm that renewal is off.
Loom notes that Business + AI trial accounts may not show Manage Subscription because the trial ends without charging. Check for a paid subscription and a renewal date before looking for a cancellation button that should not exist.
Downgrade, cancel, or remove users?
These actions solve different problems:
| Action | Best when | Account and videos | Billing effect |
|---|---|---|---|
| Remove workspace users | The product fits but the seat count is wrong | Remaining workspace stays paid | Lowers future user count, subject to billing timing and tiers |
| Downgrade to Starter | You want to retain a small free workspace | Account and all existing videos remain accessible | Paid features end after the billing cycle |
| Cancel/deactivate subscription | You want the paid entitlement to end | Confirmation screen explains the resulting Starter/cancel state | Renewal stops at the displayed date |
| Delete account or videos | You intentionally want permanent removal | Destructive and not required merely to stop paying | Separate from cancelling a subscription |
If price is the issue, review users before cancelling the entire subscription. After the Creator Lite migration, workspace members who were formerly free may become full paid users unless an admin removes them during the grace period.
What happens to videos after downgrade
Loom’s official downgrade FAQ currently says:
- all existing videos remain accessible, even if the workspace has more than 25;
- no new recording can be created until the workspace upgrades or deletes enough videos to return to 25 or fewer;
- new recordings are limited to five minutes;
- Engagement Insights disappear;
- custom branding is removed from share pages;
- Business premium features are lost;
- existing Spaces remain accessible, but new Spaces cannot be created;
- SSO is disabled and some users may need to reset a password.
That is different from “Loom deletes everything above 25.” The practical risk is workflow lock-in and the loss of paid features, not automatic deletion described by the current documentation. Still, keeping an independent copy of business-critical media is sensible before changing any subscription.
Export and verify before the billing date
Perform this sequence before cancellation becomes effective:
- List videos that are embedded in documentation, onboarding, support articles, or customer emails.
- Confirm who owns each recording and which viewers depend on it.
- Download critical MP4s and captions where the account permissions allow it. The Loom export guide covers individual and library-scale options.
- Open a sample of the downloaded files and check video, microphone audio, system audio, duration, and captions.
- Record the old share URL so you can replace important links after migration.
- Save the final invoice, subscription identifier, cancellation confirmation, and effective date.
- Recheck the billing page after the effective date.
Do not wait until the final hour. Large exports and imports need time, and a private or restricted share link may require its owner to change access or perform the download.
Moving the videos instead of abandoning them
Chairkick can import supported, playable Loom share or embed links into a new library. That is useful when the goal is to preserve the media and issue new share links before cancellation. It does not carry over Loom comments, viewer analytics, Spaces, or old embed URLs, so treat migration as a checked project rather than a magic account transfer.
New Chairkick workspaces get a 14-day Pro trial; Pro is $9 per recorder monthly or $72 per recorder yearly. People opening ordinary share links are not paid seats. Follow the detailed Loom-to-Chairkick migration checklist, verify representative imports, replace critical links, and only then let Loom reach its cancellation date.
If the cancellation controls are missing
- Confirm you are in the correct Atlassian organization and billing account.
- Check whether another Loom subscription appears under a different Transaction Account ID.
- Ask an organization or billing admin rather than an app admin.
- Look for an active trial instead of a paid subscription.
- For legacy billing, confirm you opened the workspace’s settings rather than personal settings.
- If the UI and invoice disagree, contact Atlassian support with the subscription ID and screenshots before the renewal date.
